Managing spaces

You need a second building if you operate from more than one address, or want spaces grouped separately. Go to Facility → Building and choose New.

Fields marked with a red asterisk are required.

FieldWhat it does
Building Name , requiredThe site’s name, as your team knows it
Address Line 1 , requiredThe first line of the address
Postcode , requiredThe rest of the address is optional
NotesAccess instructions, parking, a caretaker’s number
Max Capacity , requiredThe most people the building may hold at once. At least 1
Enforce Building CapacityRefuses bookings that would go over Max Capacity. Off until you tick it

Max Capacity and its switch are explained in building capacity. Choose Add to save, then add the building’s spaces at Facility → Space, choosing the new building in each space’s Building field.

To move an existing space to another building, open it, change its Building and choose Update.

Deactivate a space that is out of use, whether for a season or for good. Open the Actions menu on its row at Facility → Space and choose Deactivate. The app warns you first:

Once a space is deactivated it will no longer appear anywhere. Are you sure you want to proceed?

A deactivated space stops being offered on bookings and stops counting towards your bill. When that shows on your invoice is explained in your subscription.

Include Inactive still finds it, and Activate brings it back with its layouts still assigned.

Deactivating a building deactivates every space in it at the same time, and they all stop counting towards your bill.

Deleting a space removes it and takes it off every layout it was assigned to. It no longer appears even with Include Inactive on, and there is no way to bring it back in the app.

Deleting a building deletes every space in it too. The app says so before you confirm:

Deleting this building will also remove all its associated spaces. Are you sure you want to proceed?

Delete only appears on the Actions menu if your role is allowed to delete.
