Clients

A client is anyone you take a booking from or for: a person or an organisation. Session providers are clients too, with one box ticked on their record. Clients live at Clients & Services → Client.

  1. Adding and editing a client - the Overview tab: the fields, the “already in use” messages, and what Is Company and Is Session Provider change
  2. Linking clients together - recording the people who belong to a client, so they can be added as its attendees
  3. Client balances and booking history - the Invoicing and Booking History tabs: what a client owes, and everything they have booked
  4. Notes and documents on a client - the Notes and Documents tabs, including the notes Axiom writes when an email or text is sent

Only the Overview tab is there while you are adding someone new. The other tabs appear once the record has been saved.

There are two ways in, and they give you different amounts of detail:

HowWhat you get
Your team adds them with NewEvery field on the record, filled in by you
They sign up on your booking portalA name and an email address, and nothing else. Not a company, not a provider, active at once

Search before you add someone by hand. If they have already signed up through your portal, adding them again is refused: two of your clients cannot share an email address. Open the record they created instead and fill in the rest.

Each organisation using Axiom has its own separate client list. Someone who books with other organisations as well as yours has a separate record with each, and none of those affects yours.

Both are on the Actions menu of each row in the client list. They look similar there and are very different in effect.

Deactivate takes the client out of use. The app warns you first:

Once a Client is deactivated they will no longer appear anywhere. Are you sure you want to proceed?

They stop being offered on bookings and in every client dropdown. Their bookings, invoices and notes are all kept, Include Inactive still finds them, and Activate brings them back exactly as they were. A deactivated session provider stops counting towards your subscription. You can still record a payment against a deactivated client, because the money moved in the real world.

Delete only appears if your role is allowed to delete clients, and it removes the record. It no longer appears in the list even with Include Inactive on, there is no way to bring it back in the app, and the clients linked to it are unlinked. Its email address becomes free for another client to use.
