Invoicing & Payments

This section is about you invoicing your customers. Raising invoices from bookings, issuing them, sending them, and recording the money when it arrives.

  1. Tax rates - setting them up, and why tax sits on the item rather than on the invoice
  2. Invoices - how a booking becomes an invoice, the statuses it moves through, and issuing and emailing it
  3. Recording payments - cash, cheque and card, part payments, refunds and receipts
  4. Taking card payments - connecting Stripe so customers can pay by card
  5. Credit notes and adjustments - correcting an invoice you have already issued
  6. Deposits - taking a refundable deposit and returning it

Invoicing is optional, and it is per module

Section titled “Invoicing is optional, and it is per module”

Nothing is invoiced until you switch it on, under Settings → General, separately for each module: Enable Invoicing on Space Booking, on Session Booking, or both.

Leave it off and Axiom is a diary. Turn it on and every booking raises an invoice.

The two modules bill in opposite directions, and this is the single most important thing to know before you switch invoicing on.

Space bookingSession booking
Who is invoicedThe client on the bookingEvery attendee, individually
How many invoicesOneOne per attendee
Are attendees billed?Never, on any routeYes - that is the point
Who is never billed-The session provider. They host it, they do not buy it

A yoga class with six attendees produces six invoices. A hall hire with six people on the guest list produces one.

That difference is deliberate and runs through everything - pricing, the portal, refunds. See making a space booking and making a session booking.

A booking’s charge is assembled from up to three things:

  • The hourly rate of the space, or of the session provider
  • Any set fee on the booking type
  • Any add-ons attached to the booking

Each lands as its own line, carrying its own tax rate. See add-ons for the per-attendee pricing rule on sessions.

Tools → Invoicing lists every invoice, with search and a status filter. Each client’s own invoices are also on their client record.
