Village Hall Booking Software
One shared diary every committee member can see, an invoice ready when a hire needs one, and locals who can book the hall at midnight without phoning anyone.
Many village halls still regularly run on a paper diary, a cash tin, and a group WhatsApp. Axiom brings those together in one place, with village hall management software priced for a volunteer committee, not a corporation, so your time goes on the community instead of admin.
Every room and every booking in one shared view
No more two committee members booking the same room on different calendars. Axiom gives everyone on your team a live, colour-coded view of the entire hall diary, whether they're checking it from home or at the hatch.
- Multi-Room Visual Diary
See the Main Hall, Committee Room, and Kitchen all on one screen. Gaps and clashes are visible at a glance, without hunting through a spreadsheet.
- Automatic Clash Prevention
The system won't let two bookings overlap in the same space. Your committee is always protected from double-booking embarrassment.
- Instant Confirmations
Hirers get an automatic confirmation the moment a booking is made, so nobody has to chase or send emails from a committee member's personal inbox.
Set up the Scouts once. The system handles the rest.
Village halls depend on their regulars: the Monday yoga class, the Scouts every Thursday, the Parish Council on the last Tuesday of the month. Set those up in seconds and Axiom writes every date into the diary, can prepare the invoice behind each one, and tells the hirer whenever something changes.
- Weekly, or the Last Tuesday of the Month
The Parish Council's awkward pattern is no harder to set up than the Monday yoga class. Give it an end date or a number of dates and the diary fills itself for the year ahead.
- Move the Whole Series at Once
When the yoga group moves to a different night, update the whole series in one click. No need to amend 52 individual entries.
- Your Treasurer Checks, Rather Than Builds
The invoice comes off the bookings with the dates and the charges on it already. Reading it through takes a minute. Building one from scratch used to take an evening.
Handle birthday parties, fundraisers, and wedding receptions with no extra paperwork
One-off hirers are the hall's bread and butter income. Your public portal lets locals browse availability and submit a booking request any time. Your committee gets a clean record of every event, deposit, and payment from the moment it comes in.
- Book the Hall at Midnight
A booking page of your own, so somebody in the village can see what is free and put a request in at any hour, without waiting for the warden to pick up.
- Damage Deposit Taken Up Front
Take a damage deposit or advance payment online via Stripe. Funds settle directly, so there's no cash to handle and no cheque to chase in the post.
- Your Conditions of Hire, in Writing
Add a short note to each booking type, such as where your conditions of hire can be found, and it goes out with every confirmation. Hirers have the terms in front of them from the moment the booking is theirs.
Records that stay up to date, so the AGM isn't a scramble
Your Treasurer needs accurate records: for the AGM, for the parish council, for every funding application that comes up. Axiom keeps that record live, covering every invoice and payment, so the figures are already right when somebody asks for them.
- One Ledger, Three Audiences
Every payment and credit note is recorded with the balance before it and after it. Your Treasurer, the Parish Council and an external auditor are all reading the same figures.
- Every Hire on Record
Each booking is kept against the room it used and the group that made it, with what they were charged. Open any hirer's account to see their whole history with the hall.
- Flexible Fee Structures
Set a Local Charity Rate, a Resident Discount, and a Commercial Rate separately. The right price is applied automatically, so nobody has to work it out or have an awkward conversation.
- Cash & Cheque Tracking
Not every local group wants to pay by card. Cash and cheque payments are logged in the same system, so everything reconciles and nothing sits off the books.
The hall's paperwork, where the next committee can find it
The insurance certificate, the fire risk assessment, the premises licence, the safeguarding policy. Every hall has them, and in most halls they live in one trustee's inbox. Keep them in the hall's own document vault instead, filed under categories you set up yourself, so they belong to the hall rather than to whoever last renewed them.
- Certificates and Licences in One Place
Public liability, PAT testing, the premises licence, the annual electrical inspection. Filed by category and findable in seconds, rather than hunted for the week somebody asks.
- This Year's Copy, Without Losing Last Year's
Upload the renewed certificate and it becomes the current one. The version it replaced stays on the record, dated, and still downloadable if you ever need to show what was in force.
- The Email Before It Runs Out
Put a review date on the insurance certificate and name the trustee who looks after it. They get an email ahead of the date, so a renewal is not something the committee finds out about afterwards.
- Nothing Lost When the Committee Changes
Volunteers move on and hand over what they remember to hand over. Documents held by the hall stay with the hall, along with a record of who uploaded, replaced or downloaded each one.
- Filed Against the Room It Belongs To
The electrical certificate for the main hall can be attached to the main hall itself, and one document can sit against more than one room without being uploaded twice. Replace it next year and every room it is attached to picks up the new copy.
Decided when it's booked, not on the morning
Each booking carries the setup information your caretaker needs: the layout the room is to be put out in, and the extras that were added to the hire. No more passing notes or last-minute phone calls.
- Resource & Equipment Tracking
Attach whatever a booking needs, from tables and chairs to audio and video equipment. It stays on the booking, so the caretaker can see what each event requires before they arrive.
- A Layout, Not a Description
Set up the layouts the hall uses once, each with its own notes, and pick one on the booking. The Scouts' square of tables and a wedding's top table are a choice, not a phone call.
- Closed Means Nothing Can Be Booked
The hall is only bookable inside the slots you have opened on it. Shut it for a week of redecorating by taking those slots out, and Axiom will not let you remove one that still has a hire sitting in it.
A booking too big for the hall is turned down when it is made
Tell Axiom the most people the hall is let for and it checks every booking against that number before accepting it. A hirer asking for a hundred and fifty in a hall let for a hundred and twenty is stopped at the point of booking, not discovered the week before.
- One Number for the Whole Building
The figure belongs to the hall itself, not to each room inside it. The main hall and the committee room let at the same time count towards the same total.
- The Same Answer Online
A local booking through your portal at midnight gets the same check a committee member does, so an over-sized hire cannot arrive through the back door while nobody is watching.
- Off Until You Turn It On
Capacity checking is a setting on the building, not something imposed on you. Halls that would rather judge each hire on its own leave it switched off and nothing changes.
It is the size a booking is made for that Axiom counts, not the number of people who come through the door on the night. That remains the committee's to manage, as it always was.
Up and running in days, even from a paper diary
We know hall committees aren't IT departments. We'll transfer your existing diary and regular hirers into Axiom for you, then walk your committee through the system. After that we stay available for whatever changes. No standing start, no steep learning curve.
- Diary Migration
We move your existing bookings into Axiom, whether they live in a paper diary, a spreadsheet, or something else entirely, so you start with a complete, accurate record from day one.
- Committee Onboarding
We walk your committee through the system together, at your pace, and stay on hand afterwards. Real support from real people who built the software.
- Ongoing, Direct Support
When something changes, whether that's a new warden, a different hire structure, or a hall extension, we're on hand to help you adapt. We work with you, not at you.
Village halls are the heartbeat of their community.
Your admin should never get in the way of that.
When the booking system works, the committee works. When the committee works, the hall works, and the community it serves can keep relying on it.
From red book to real system
Replace the paper diary with a shared digital view every committee member can access from anywhere, so nothing gets lost or double-booked.
Less work for volunteers
Confirmations, changes and cancellations go out on their own, and any invoice you raise arrives drafted off the booking. Your committee volunteers its time for the community, not for filing paperwork.
Evidence when it's asked for
Every booking, invoice and payment is on record and current. A funding application means looking things up rather than losing a weekend to spreadsheets.
