Document Management

Every document, every version, in one place

Certificates, policies and risk assessments filed where your team can find them, with a full history of every change behind each one.

Axiom Booking Document Manager grid listing documents by name, category, review due date, version and status, with the storage allowance shown in the toolbar

Included with every Axiom plan at no extra cost: 1GB of document storage for your organisation, with no charge per file and no per-user fee.

Document Library

One library for the paperwork your venue runs on

The documents that prove how your organisation operates usually live in somebody's inbox, a shared drive, or a folder only one person can find. This puts them in the system your team already works in.

  • Categories You Define

Set up the categories your organisation actually uses: Insurance, Risk Assessments, Policies, Certificates, Licences. Nothing is imposed, and you can add or rename them at any time.

  • An Owner and a Review Date

Record who in your team is responsible for each document, and the date it is next due to be reviewed, so the answer to "whose is this and is it still current?" sits on the record itself.

  • Findable in Seconds

Search and filter the whole library from one grid, with your current storage use shown alongside it. Individual files can be up to 20MB.

Version History

Replace a document without losing what it replaced

Upload a new copy and it becomes the current version. The one it replaced does not disappear. It stays on the record, dated, and still downloadable.

If you are ever asked what cover was in place on a particular date, the answer is on the record rather than in somebody's memory.

History & Access

A record of who changed what, and when

Every document carries its own history tab. Uploads, replacements, edits, downloads and deletions are all recorded against the person who did them.

  • A Complete Activity Trail

Not just uploads: downloads are logged too, so you can see who has taken a copy of a document as well as who changed it.

  • Controlled by Your Roles

Access uses the same role-based permissions as the rest of the platform, with independent Add, Delete, Edit and View flags. Finance can be given the insurance file without being given the ability to remove it.

  • No Public Links

Files are held in private storage with no shareable address. A download link is created at the moment you click it and expires minutes later, so a forwarded URL is worthless.

Why It Matters

Paperwork you can produce on the day you are asked

Nothing lost with the person

When a trustee steps down or a manager moves on, the documents stay where the organisation can reach them rather than in a personal inbox or an old laptop.

Evidence, not recollection

Insurers, funders and licensing officers ask what was in place at a point in time. Keeping every version means that question has a documented answer.

One version of the truth

Everyone works from the copy marked current, so the hall committee, the caretaker and the treasurer are not each holding a different edition of the same policy.

Put your paperwork somewhere it can be found
