Pitch and Facility Booking for GAA Clubs
The main pitch, the astro, the hall and the ball wall in one diary. Juvenile training set up for the season, outside hire taken online, and every hire fee on the club's books.
Foireann looks after your membership and registration. Axiom looks after the grounds: a GAA pitch booking system for the whole club, with every pitch, every room, every team and every outside hirer in one diary.
Every pitch, the astro and the clubhouse in one diary
Gaelic football, hurling, camogie: whatever the club plays, it is more than its main pitch. There is the juvenile pitch, the astro, the hall, the meeting room, the gym and the ball wall, and on a weeknight most of them are in use at once. Axiom puts every one of them on one live grid that every officer can see.
- One Grid for the Whole Grounds
Each pitch and room is a space of its own, side by side on one screen. The juvenile coordinator and the facilities officer look at the same diary rather than two versions of it.
- No Two Teams on the Same Pitch
A booking that overlaps another on the same pitch is stopped before it is confirmed, so the U12s and the senior hurlers never both turn up for seven o'clock.
- Rested for Reseeding
Each space opens only in the slots you give it. Take a pitch's slots out while it is rested or reseeded and nothing can be booked onto it, while the astro carries on as normal.
Juvenile training for the whole season, put in once
From the nursery on a Saturday morning to the minors on a Wednesday night, every team trains on the same few surfaces. Give each team its night and the date the season ends, and the diary fills itself out to there.
- A Season in One Go
Weekly and fortnightly training both work. Set the pattern once and every date to the end of the season is in the diary.
- One Change, Every Week After
When the U14 camogie move from Tuesday to Monday, change the series once and every later date moves with it.
- Club Teams Free, Outside Hirers Charged
Each booking type carries its own fee. Put the club's own teams on one with no charge and outside hirers on one with the hire fee, and both sit in the same diary.
The astro and the hall earn their keep
Soccer teams, schools, fitness groups and families booking a party all want the club's facilities, usually when nobody is in the clubhouse. Your own booking page shows them what is free and takes their request at any hour.
- Requests Wait for the Club
Outside requests can wait for the facilities officer to approve them. The hirer is told it is a request, and nothing is charged unless it is approved.
- Card Payments to the Club's Account
Hire fees are paid online by card through Stripe and settle into the club's own account, not a volunteer's.
- Floodlights on the Bill
Floodlights, the dressing rooms or the kitchen can be added to a hire, and the charge goes onto the invoice with the booking.
- The Hire Rules on Every Confirmation
Each booking type carries a short note on its confirmation email, so astro hirers get the footwear rule and the hall hirer gets the kitchen arrangements.
Summer camps with the places counted for you
Easter camps, summer camps and coaching blitzes are where the club meets families who are not members yet. Put a camp on as a session with a set number of places, and parents sign up on your booking page.
- Places Left, Shown as They Fill
Each camp shows how many places are taken, and a full camp is marked full rather than taking one booking too many.
- Paid When They Sign Up
Where the club takes payment online, parents pay by card as they sign up, so the camp fee is in before the first morning rather than collected in an envelope at the gate.
- Each Coach on Their Own Calendar
Every coach running sessions has a calendar of their own, so who is taking which group is never in doubt.
Every euro the grounds take, on one record
The treasurer answers to the AGM and to whoever helped pay for the astro. Axiom will not write those returns. It keeps every hire, invoice and payment in one place, so the figures behind them are already there.
- Invoiced Off the Booking
A regular hirer's invoice comes off their bookings with the dates and charges on it. The treasurer checks it and sends it, so nothing goes out in the club's name that nobody has looked at.
- Cash at the Clubhouse Counts Too
Cash handed over at the clubhouse or a cheque from the school goes onto the same booking record as a card payment, so there is one set of figures.
- Who Still Owes the Club
Every hirer's account shows what they owe and the dashboard shows the total, so the treasurer knows who to ring before the AGM.
- VAT as Your Club Charges It
Tax rates are set by the club, so invoices carry VAT at the rate you have set, or none if the club is not registered for VAT.
The insurance cert, and every other document a hirer asks for
Hirers ask for the club's insurance, schools ask for the risk assessment, and the club wants each hirer's cover on file before they use the astro. A document vault keeps all of it in one place, with every earlier version kept.
- Each Hirer's Cover on Their Account
A hiring club's public liability certificate sits on that hirer's account, next to their bookings.
- Told Before It Lapses
Give a document a review date and whoever looks after it is emailed before it comes round, rather than the club finding out when a hirer asks to see it.
- Every Officer Their Own Login
The chairperson, the secretary, the treasurer and the juvenile coordinator each get their own access, set to what their role needs, and it changes hands cleanly when the officers change at the AGM.
The hall set out right for whoever has it next
The clubhouse hall does a christening party on Sunday, set dancing on Monday and the club's own meetings in between. Each booking carries the layout it was taken for and whatever was added to it.
- Layouts Chosen at Booking
Save each way the hall gets set out, with notes on it, and pick one as the booking is taken. Whoever opens up knows what the room should look like.
- One Limit for the Whole Clubhouse
Give the clubhouse a maximum and bookings in the hall and the meeting room at the same time are counted together. Leave it off if you prefer to judge each hire yourselves.
The same few volunteers
run the whole club.
The club secretary is also the facilities officer, and the treasurer coaches the U10s. Every hour Axiom takes off them is an hour back for the club.
One diary for the grounds
Teams, outside hire and camps on the same screen, seen by every officer.
Hire income that gets collected
Every outside hire carries its fee and every hirer's account shows what is owed, so nothing is let for free by accident.
Records ready for the AGM
Bookings, invoices and payments are recorded as they happen, so the treasurer's report starts from what is already there.
