These Terms & Conditions ("Terms") govern your use of the website and SaaS booking platform operated by Veridical Data Systems Ltd (company number 17139455, registered office at 66 Paul Street, London, England, United Kingdom, EC2A 4NA), trading as "Axiom Booking" ("we", "us", or "our") (the "Services"). By accessing or using the Services, you agree to these Terms.
If you do not agree, you must not use the Services.
1. Using Our Services
1.1 You may use our Services only if you are 18 years or older and can form a legally binding contract.
1.2 You agree to use the Services in compliance with all applicable laws and regulations.
1.3 We may update or suspend the Services at any time for maintenance, security, or other reasons, without liability to you.
2. Account Registration and Authentication
2.1 To access the platform, you must create an account. You are responsible for:
- Providing accurate and up-to-date information
- Maintaining the security of your login credentials
2.2 We use Microsoft Entra ID, a secure third-party authentication provider, to manage logins. We do not store passwords.
2.3 You must notify us immediately of any unauthorized use of your account.
3. Booking and Payments
3.1 All bookings made through the platform are subject to your agreement with your customers and your own business rules.
3.2 Payments are processed securely by Stripe. We do not store full payment card details.
3.3 You are responsible for ensuring you have lawful authority to process your customers' personal data.
3.4 Refunds, cancellations, or disputes are handled in accordance with your own business policies; we are not responsible for disputes between you and your customers.
4. Intellectual Property
4.1 All content, software, and materials on the Services are owned by Veridical Data Systems Ltd or our licensors.
4.2 You may not copy, reproduce, modify, or distribute any content without prior written permission.
4.3 Your account data and content remain your property, but by using the Services, you grant us a license to process it as necessary to operate the platform.
5. Data Protection
5.1 Your use of the Services is also governed by our Privacy Policy.
5.2 You are responsible for ensuring any data you enter complies with applicable data protection laws, including providing any necessary notices to your customers.
5.3 Where we process your customers' personal data on your behalf, that processing is governed by our Data Processing Agreement, which is incorporated into these Terms.
6. Liability and Disclaimers
6.1 The Services are provided "as is" and "as available."
6.2 We do not guarantee that the platform will be error-free, uninterrupted, or secure.
6.3 To the fullest extent permitted by law, Veridical Data Systems Ltd is not liable for:
- Indirect, incidental, or consequential losses
- Loss of data entered by users
- Disputes between you and your customers
6.4 Nothing in these Terms limits liability for death or personal injury caused by our negligence.
6.5 Subject to clause 6.4, our total liability to you arising out of or in connection with the Services or these Terms, whether in contract, tort (including negligence), or otherwise, shall not exceed the total amount paid by you to us in the 12 months preceding the claim. Nothing in these Terms excludes or limits liability for fraud or fraudulent misrepresentation.
7. Termination
7.1 We may suspend or terminate your account if you breach these Terms.
7.2 You may terminate your account at any time.
7.3 Upon termination, your access to the Services will end, but we may retain your data as required by law or contractual obligations.
7.4 New accounts include a 28-day free trial. At the end of the trial, you will be charged for each bookable item configured on your account, at the rate published on our pricing page (currently £2 per bookable item per month).
7.5 Bookable items are billed monthly in advance. If you cancel, you will not receive a refund or credit for any unused portion of the current billing period.
7.6 When you close your account, it remains fully available — both your administrative access and your public-facing booking pages — for the remainder of the billing period you have already paid for. From the moment you close it, no new bookings can be made for dates after your closing date, by you or by your customers, because those bookings could not be honoured. Bookings already in place are unaffected and can still be viewed, managed and cancelled as normal.
7.7 You may reopen your account at any time before your closing date, from your account settings. Your subscription then continues as normal.
7.8 At the end of that billing period, your account will be deactivated and your data will no longer be accessible via the Services. We may retain underlying data thereafter only as required by law or as set out in our Privacy Policy.
8. Your Right to Cancel (Cooling-Off Period)
8.1 If you are signing up as a private individual (a "consumer"), you have a statutory right to cancel your contract with us within 14 days of the day you create your account, without giving any reason, under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
8.2 Separately from that statutory right, no payment is ever taken from you during your 28-day free trial. You may cancel at any time during the trial — not only within the first 14 days — free of charge, simply by closing your account or contacting us using the details in clause 11.
8.3 If you do not cancel before the trial ends, charges begin as described in clauses 7.4 to 7.8 above (billing in advance, with no refund for the unused portion of a billing period once the trial has ended).
8.4 To exercise your right to cancel during the cooling-off period, contact us using the details in clause 11, or provide any other clear statement setting out your decision to cancel.
9. Governing Law
These Terms are governed by the laws of England and Wales.
Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
10. Changes to Terms
We may update these Terms from time to time. Changes will be effective once published on our website. Your continued use of the Services after updates constitutes acceptance of the revised Terms.
